2. Technical access data and hosting
When you access this website, the web server and supporting infrastructure may process information such as your IP address, access time, requested URL, HTTP status, browser/device information and diagnostic or security logs. Processing supports site delivery, stability and protection against misuse. Depending on the situation, the legal basis is Art. 6(1)(f) GDPR (legitimate interests) or Art. 6(1)(b) GDPR where processing is necessary to provide requested services.
Technical service providers operating this website may process such data on our behalf under applicable data-protection agreements. Server logs are retained according to technical necessity and security requirements and deleted when no longer needed unless an incident or legal obligation requires longer retention.
3. Contact enquiries
If you contact us by email, telephone or a website contact form, we process the information you provide (for example your name, contact details, message and appointment preferences) to respond to your enquiry. Depending on the purpose, the legal basis is Art. 6(1)(b) GDPR (pre-contractual measures), Art. 6(1)(f) GDPR (communication with enquirers) or another applicable legal basis. We retain these details only for as long as necessary, subject to statutory retention obligations.
Please do not transmit sensitive personal or financial documents through an unsecured website form unless a secure and approved channel has been expressly provided.
4. Appointment booking via Microsoft services
This website links to or may integrate Microsoft appointment-booking services, including Microsoft Bookings. When you select an appointment, details such as your name, email address, requested time and any further information you provide may be processed for appointment organisation and communication by Microsoft and the controller. Where relevant, separate Microsoft information and privacy terms apply. Legal bases depend on the booking purpose (typically Art. 6(1)(b) or (f) GDPR).
More information on processing by Microsoft is available in the Microsoft Privacy Statement. Depending on the configuration of Microsoft 365 and Bookings, Microsoft group companies and subprocessors may be involved. Where applicable, international transfers are subject to the safeguards required under Chapter V GDPR.
5. Cookie consent and external content
Our website uses a cookie consent banner through which visitors can decide whether to allow optional cookies and comparable technologies, including analytics. Cookies needed for the operation, security and basic functions of the website may be used without consent where legally permitted. We request consent for non-essential technologies where required by § 25 TDDDG and process the associated personal data on the basis of Art. 6(1)(a) GDPR.
You can reject optional categories of cookies or grant consent through the banner. You may withdraw or change consent at any time with effect for the future using the cookie settings provided by the consent tool. If those settings are not readily accessible, please contact marcel.plum@germansherpa.com for assistance. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.
The website may also link to or embed content from external providers, such as videos or social platforms. When external content is loaded, the provider may receive technical information including your IP address. Where consent is required, the content should only load once that consent has been given.
6. Google Site Kit, Google Analytics and Google Search Console
We use Site Kit by Google in WordPress to manage connected Google services and access performance reports. Google Analytics is active on GermanSherpa.com. It is used to understand how visitors use the website and to improve its structure, content and usability.
Google Analytics: Depending on its technical settings and the consent granted, Google Analytics can collect information such as pages viewed, interactions, approximate location, browser and device properties, referral sources and online identifiers. The recipient is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland; Google group companies may also be involved in processing. Further information is available in the Google Privacy Policy.
For analytics cookies and comparable access to information on a visitor’s device, the relevant legal basis is consent under § 25(1) TDDDG; the associated personal-data processing is based on Art. 6(1)(a) GDPR. Optional analytics tracking must remain disabled until the required consent has been given. Visitors can decline analytics in the cookie banner and later withdraw their consent through the cookie settings. The fact that a banner is displayed does not, by itself, demonstrate that tracking is technically blocked before consent; the consent tool and Analytics implementation must be configured accordingly.
Google Search Console: We use Google Search Console reporting to understand how GermanSherpa.com appears in Google Search, including aggregate information on clicks, impressions and search queries. Search Console performance reporting is separate from visitor analytics and does not by itself place Google Analytics cookies.
International transfers: Depending on the Google services and their configuration, data may be processed outside the European Economic Area, including in the United States. The applicable transfer mechanisms and safeguards depend on the recipient and current arrangements with Google, including any relevant adequacy decisions and contractual safeguards.
Other services that Site Kit can support, such as Google Ads, AdSense or Tag Manager, are not necessarily active merely because the plugin is installed. Any additional services actually enabled must be disclosed separately where relevant.
7. Rank Math SEO
We use the WordPress plugin Rank Math SEO to manage search-engine metadata, structured information, XML sitemaps and related search-engine optimisation functions. These functions do not, by themselves, establish that visitors are tracked for advertising or audience measurement. If additional Rank Math modules or connections process personal data, the relevant processing depends on their actual configuration.
8. Recipients and international transfers
Personal data may be processed by providers of web hosting, website maintenance, Microsoft 365/email, appointment booking, Google Analytics and other communication services as needed for the purposes described above. Where service providers act as processors, data processing agreements are concluded where required. Data is shared with financial product providers or professional partners only where justified by a specific enquiry, contractual relationship or other applicable legal basis. Where personal data is transferred outside the EEA, applicable GDPR safeguards are used.
9. Retention periods
Data is stored only as long as required for the purpose of processing or to satisfy statutory retention obligations. Enquiries that do not lead to a business relationship are deleted when the purpose has ended and no legitimate reason for continued storage remains. Longer retention periods may apply to business correspondence, contracts and regulated advisory records.
10. Your GDPR rights
Subject to legal requirements, you may request access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20) and object to certain processing (Art. 21 GDPR). Where processing is based on consent, you may withdraw it at any time for the future (Art. 7(3) GDPR). You also have the right to lodge a complaint with a competent data protection supervisory authority (Art. 77 GDPR).
Requests can be sent to marcel.plum@germansherpa.com. For complaints concerning data protection in North Rhine-Westphalia, you may contact the Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen.
11. Security and updates
We use appropriate technical and organisational safeguards proportionate to the risks associated with processing. This policy will be revised whenever relevant processing activities or legal requirements change.
